Research tools and team writing

Compare reference managers against your team’s actual writing workflow

A reference manager should fit the way a team collects sources, edits documents and hands work to colleagues. This comparison checks selected current documentation for Zotero and EndNote 2025. The worked rehearsal is fictional, and no vendor trial was performed for this guide. Features listed in documentation remain distinct from a successful test on your institution’s devices, accounts and manuscript files.

The working sequence

  1. Write the team’s requirements
  2. Compare documented capabilities
  3. Rehearse with synthetic references
  4. Choose from verified workflow evidence

1. Start with a specific team and document

Imagine four clinical researchers preparing a bilingual methods paper. Two use Windows and two use macOS; all agree to write in a supported desktop version of Word. One member maintains the reference library, two correct source metadata, and a fourth needs reading access. These are proposed roles for a fictional team, not capabilities already configured in either product.

The team needs correct source identity, preserved Arabic names and titles, usable citations, controlled sharing and an exit route. It does not need a universal product score. List the exact Word and operating-system versions, any institutionally supplied licence, storage needs and who will own the shared library after a team member leaves. Keep unanswered access and cost questions open.

2. Compare the documented collaboration and writing features

Zotero documents separate group libraries, private-group visibility and configurable library editing. Its word-processor plugins support Word, LibreOffice and Google Docs. EndNote 2025 documents sharing a synced library with read-only or read-and-write permissions, and Cite While You Write integration with supported writing applications. These are documentation findings, not our measured reliability results.

For the fictional team, the decision depends on whether those documented features work together in its chosen environment. A personal library copied into a group, a shared synced library and a bibliography pasted into Word are different workflows. Identify which one the team intends to maintain before testing concurrent edits or inviting real collaborators.

3. Review sharing and privacy as a separate decision

Zotero’s privacy policy distinguishes local use from optional account and synchronization services. EndNote’s privacy notice describes how personal data is processed. Neither statement, on its own, establishes that a particular hospital has approved a proposed configuration. Read the current policy and ask the responsible institutional team about the intended data and account arrangements.

For this rehearsal, use invented citation records and no patient material, confidential manuscript, credentials or restricted full text. Before real sharing, check whether collaborators may access the attached files and whether the library should contain them at all. A private group setting is a visibility control; it does not supply copyright permission or resolve every institutional data-handling requirement.

4. Design a small, inspectable local rehearsal

Prepare six synthetic reference records: five distinct works and one duplicate copy of a work already present. Include an Arabic title, a hyphenated surname, a record without an identifier, and two different works with similar titles. Mark every record as training material. Do not give fictional works real-looking DOIs or import them into a public collection.

In an authorised test account, import the set, assign the proposed permissions, correct one title and insert citations into a disposable document. Check the visible bibliography, then reopen the document and confirm that citations still update. Save the exact software versions, steps and observed results. This paragraph describes a proposed test; the guide has not run it in either product.

5. Test the exit route without confusing export and backup

Zotero warns that export is not a full backup or a replacement for group collaboration, and that reimported items can lose links to existing document citations. EndNote describes its XML format as intended for exchange between EndNote users. A file extension alone does not establish that another tool preserves every field, attachment, annotation or live citation relationship.

Test the required destination with a copy of the synthetic set. Compare record identity, author order, Arabic text, identifiers and the specific attachments permitted in the test. Retain the original library and an appropriate backup. If the target cannot preserve an important field, document the limitation before a real migration. Do not delete the source because an export file merely exists.

6. Choose from results and leave unresolved tests visible

Use a decision record with three columns: documented capability, local observation and unresolved requirement. For this guide, only the first column contains product findings; vendor trials and institutional approval remain unperformed. In your own completed rehearsal, the second column should point to the actual checked document and library rather than a general impression that the software felt easier.

Choose the option that meets the agreed requirements with acceptable support and transition effort. Record licence and storage terms only after verifying the actual offer available to the team. Set a library owner, a backup responsibility and a small onboarding exercise. The reference manager can organize and format records; authors must still verify that each cited work supports the statement in their manuscript.

Questions for a practical final check

  • Team roles and device versions specified.
  • Documentation separated from performed tests.
  • Synthetic rehearsal contains Arabic and duplicate cases.
  • Permissions and institutional data decisions checked.
  • Export read back without discarding the source.
  • Citations verified against the actual works.

Examples illustrate a working method; they do not establish the readiness of a particular journal or manuscript. This is general guidance: check the current policies of the journal concerned. Source links reviewed 15 September 2026.
